The new Multiple Employments feature addresses the challenge of managing employees who work in multiple roles or have multiple employment contracts within an organisation
Multiple Employments allows for various scenarios, such as:
An employee who’s employed under two or more employment contracts with differing pay-related information.
An employee who’s employed under one employment contract, but they work in multiple roles within the organisation.
For HR and Payroll Managers:
You can manage multiple employments in the Employment Manager, found in the employees application. Before you begin, activate the Employment Manager by enabling the ‘Employee Employment’ permission setting in the relevant Security Profiles (reach out to a Jemini consultant for help if needed).
To open the Employment Manager,go to PEOPLE > EMPLOYEES > ‘Select an employee’ > Action (the button not the bubble) > Manage employments.
The Employment Manager is where you can manage multiple employment records
The employment records are date effective, which means you can create and track various stages of employment: current, forecasted, or historical.
Select Add a new employment to create additional employments.
Select the Pencil Iconon the existing employments to edit them.
Within each employment record, you can manage Employment Streams
An Employment Stream refers to a distinct employment record within an organisation. It’s like a separate channel that holds details specific to a particular role or contract for an employee. For example, if an employee works in two different roles, each role would have its own employment stream with relevant information. Managers can switch between these streams to manage different roles efficiently.
Select the Pencil Icon to edit the Employment Stream records.
Each Employment Stream record becomes a new employee card in the Employees application
Any employee who has multiple employments will have multiple employee cards in the Employees application, indicated by the ‘ID card’ icon on the right of the cards. These cards represent different Employment Streams and contain details for each position connected to the employee. Select the relevant card for the position you’re managing—each card can be identified by their unique POSITION names. The employee’s occupancy, relevant payroll-related details, and other elements of the employee’s journey can be managed for each employment in the relevant cards.
For employees:
If you have multiple employments, switch between Employment Streams using the ‘J’ menu in the top right-hand corner. The highlighted Employment Stream will allow you to access all details related to that specific employment.
Depending on how your employer has set up your multiple employments, your pay for each employment will be paid separately or they’ll be consolidated
If you expect to receive separate payments for each of your roles, you’ll receive a payslip for each payment. If you expect to receive one payment, you’ll still receive a payslip for each role, but your net pay will be consolidated. Switch between Employment Streams to view and download the payslip for each of your employments.

Multiple Employment Leave:
Each employment has its own unique leave plan, allowing you to assign different plans to each employment. You can easily identify the employment associated with the leave events by checking the position title displayed alongside the employee’s name.
If an employee has multiple employments, they’ll need to apply for leave in each of their employment streams, taking their work patterns into consideration.
If a manager has multiple employments and has with different employees reporting to them in each role, they’ll need to switch between their employment streams to manage leave requests in Team Leave and the Leave Calendar.

Multiple Employment Lifecycles:
Each employment has its own Aspirations, Performance, and Upskilling Lifecycle, allowing you to assign different groups to each employment. You can easily identify the employment associated with each Lifecycle by checking the position title displayed alongside the employee’s name.

Multiple Employment Reports:
We’re steadily updating the reports to display Multiple Employments and Employment Streams information as needed. Given the extensive nature of these updates, we’re making progress across all reports systematically. Here’s what’s ready for you so far:
The Pay Transaction Paginated report now has three extra columns to aid in identifying the pay details for each employment: ‘Employment Name’, ‘Employment Payroll’, and ‘Employment Stream Position Title’.
The Employee Costings report now has three extra columns to aid in identifying the costings for each employment: ‘Employment Name’, ‘Employment Stream’, and ‘Employment Stream Position Title’.

The Direct Credit Check report now has three extra columns after ‘First Name’ to aid in identifying each employment: ‘Employment Name’, ‘Employment Stream’, and ‘Position Title’.
The Employee Pay Details report now includes new ‘Employment Name’ and ‘Employment Stream’ columns at the end, plus a separate ‘Pay Rate Pay Level’ column between ‘Classification Pay Level’ and ‘Rate Code Name’.
We’ve reformatted the Emp Pay Calculation Paginated report to replicate the Pay Mode bubble in Jemini. We’ve also included the ‘Employment Name’ and ‘Position Title’ (Employment Stream) in the report to display groupings by Multiple Employments.
Tip for those not using the Multiple Employments feature
In some of the updated reports, you’ll notice every employee has an ‘Initial employment’ listed as their Employment Name and ‘Initial employment stream’ as their Employment Stream. These terms are just placeholders indicating the primary employment and can be ignored.
Upskilling Course Compliance Feature
(This feature was included with Version Jem 30.4.0, released 4 May 2024)
Track critical Upskilling courses by assigning due dates and tags to them
If you have Upskilling courses that are mandatory for certification compliance or similar, you can now assign due dates and tags to keep track of their status.
Due dates and tags can be set at curriculum or course level. There are multiple ways to do this in the employee’s Upskilling Tasks View:
In the employee’s Curriculum Catalogue:
Select the new Assignment Icon in the top right corner of a curriculum card to open the Assign Curriculum panel. Here you can enter the due date. You can also set curriculum tags. Alternatively, you can SET INDIVIDUAL COURSE DUE DATES AND TAGS to Yes or No. When set to Yes, assign due dates and course tags to each course that’s attached to the curriculum, as shown in the screenshot below. When you select the Green Tick Button, the curriculum will add itself to the employee.
In the employee’s Course Catalogue: Select the new Assignment Icon in the top right corner of the course card to open the Assign Course panel. After assigning the course to a curriculum, you can enter the due date. You can also set course tags. (NOTE: If the due dates and tags are set on the assigned curriculum for that course, you’ll need to edit the curriculum instead). When you select the Green Tick Button, the curriculum will add itself to the employee.
For curricula that have already been assigned to an employee: Edit the curriculum by selecting theEdit icon on the curriculum header. In the curriculum’s editing panel, you can assign a due date and tags for the whole curriculum or set individual course due dates and tags.
For courses that have already been assigned to an employee: Select the course card to open the Employee Upskilling Course panel. Scroll down to the new Assignment section to edit the due date and tags. However, if the due dates and tags are set on the curriculum for that course, you’ll need to edit the curriculum instead.
Due dates and tags can be applied using Group Connections
There are two main approaches depending on whether you want to set due dates and tags at the curriculum level (applying to all courses) or course level (applying to individual courses). These curricula and courses can be connected to groups of employees through their organisation component or to individual employees.
When an Upskilling course that has a due date is assigned to an employee, you can easily determine when the course is due in their Upskilling Tasks view. The course card will show the Due Date. If it’s overdue, the border will turn red, and the Completion status will display ‘Overdue’.

Back Pay Feature
(This feature was included with Version Jem 30.2.0, released 9 February 2024)
Employees can now receive back pay when you update their Pay Rate record
Back pay is money owed to employees for past work that wasn’t paid accurately at the time. When you update a Pay Rate record with a START DATE before the latest processed pay cycle, Jemini will recognise that the employee might be owed back pay. New settings will appear to allow you to set the back pay dates. Depending on the dates you enter, the employee will be paid with the next regular pay cycle or through an ad hoc pay cycle.
Review back pay transactions in Pay Mode
You can review the back pay transactions in Pay Mode. The Salary Rate (or Hourly Rate) and Leave will have a separate back pay transaction line. Back pay that's calculated for all other transactions, such as KiwiSaver and ESCT, will be a combined value.

Quarterly Statistics Paginated
This report provides a summary and detailed information on Full Time Employees (FTE), Total Pay, Total Hours, Total Filled Jobs, Average Weekly Paid Hours, Average Weekly Earnings, and Average Hourly Earnings within selected payroll dates. It aligns with the requirements of Stats NZ for their Quarterly Employment Survey.
This report displays pay data for pay periods summarised at a cost centre level. Along with current pay period details, it also pulls in data for pay periods ending in the last five weeks.
This report displays pay data at an employee and cost centre level, and shows the amounts per transaction. Along with current pay period details, it also pulls in data for pay periods ending in the last five weeks.
This report provides insights into the configuration of leave plans in Jemini, offering a detailed breakdown of each plan. It has a similar setup to the ‘Pay Transaction Configuration’ report.
Report location: This report can be found in both People > Reporting and System > Reporting.
When processing a pay cycle, the IRD buttons ‘View employment information file' and ’Send employment information file' are now active only when the pay cycle status is ‘Paid’
Previously, these buttons were available throughout the entire pay cycle. We’ve updated them so that they can now be selected only when the information in those files is needed.

Onboarding Enhancement
The new application setting, ‘Display future employees to their respective managers in onboarding view’, allows you to toggle the visibility of future employees in the Onboarding view for managers
When the setting is enabled, managers can see employees who haven't started yet. When it's disabled, those future employees won't be visible (this is the default setting).
TIP: If you’re having issues with Onboarding view loading time, and future employees don't need to be visible to managers, disabling this setting can significantly cut down loading times.

Direct Credit File Processing Enhancement
Jemini will only display an error during direct credit file processing if an employee has no bank account details and the payment amount isn’t zero
If the amount is zero, no error will appear. You'll just need to acknowledge a warning, as the amount won’t be included in the file.

Leave Enhancement
If an employee requests leave using dates outside existing pay periods, a warning will now prompt them to adjust the request
Currently, future pay periods extend up to five years from the current date. If a request exceeds this, a message will notify the employee: “Your leave request includes dates outside Jemini's current range. We can process leave up to [Last Pay Period End Date]. Please adjust your request.”

A warning will appear when adding a pay transaction for a fully terminated and paid employee
The warning will ask you to acknowledge that the transaction may not calculate correctly, as the employee is terminated on that date. This is because certain transactions rely on employee details as at the transaction date, which may no longer apply due to termination and could potentially lead to calculation errors.

Two new settings in Application Settings called ‘Leave Balance Extract’ and ‘Leave Liability Extract’ allow you to enable the extracts to run overnight or disable them altogether, reducing resource usage. These extracts can still be manually triggered through Team Leave, regardless of the application settings.

New Pay report
New report: Quarterly Statistics Paginated

To use the report, select one or more payrolls and choose the desired timeframe, then select ‘View report’.
The ‘Pay Variance’ report now includes a filter for future pay cycles
If you prepare payruns in advance and post-date the payment dates, this filter allows you to verify the accuracy of future payments.

We’ve removed the ‘Calculate required only’ and ‘Recalculate required only’ buttons on the Pay Cycle processing view to simplify your experience and enhance efficiency
Since introducing the ‘Calculate required only’ and ‘Recalculate required only’ buttons, we’ve made significant performance enhancements. As a result, this functionality became unnecessary. The ‘Calculate all employees’ and ‘Recalculate all employees’ buttons now efficiently handle pay cycle processing.

New System report
New report: IRD Processing Status
This report provides the accurate IRD processing status for the employment information file in each pay cycle. Occasionally, the IRD submission status displayed in Jemini may not reflect the true submission status, so use this report to view the actual status.
The ‘Sub-Duration in Years’ field in Leave Plans now only accepts up to a two-digit number. Previously, it allowed five-digit numbers, which caused an issue in the Leave Balance report. This recent change ensures that both scheduled and ad hoc Leave Balance reports can be run successfully (JEM-20463)
When an employee tries to request leave, Jemini will check for future bookings and display a warning or error message if it would exceed their remaining balance (JEM-19018)
If you change the location of a transaction after it’s attached to the employee, the employee’s Pay Mode will now display an error message indicating that the transaction’s applicability no longer exists (JEM-19563)
When you save a User Profile, it will retain the 'All employees and all payrolls' filter setting when changed to 'Yes', as expected (JEM-20028)
When you update a Pay Rate record, Jemini will now retain some settings from the previous record as a default, so you don’t need to set them again (JEM-20171)
The Full-Time Equivalent (FTE) numbers in the Occupancy and Pay Rate panels now have up to eight decimal places, allowing for greater accuracy when reporting on FTE (JEM-20239)
In Onboarding, reminders for overdue tasks assigned to a Position Establishment are now consolidated into a single email, rather than being sent individually for each task in the step (JEM-20308)
Employees and managers that are assigned tasks connected to historical Onboarding start dates will now receive email notifications as expected (JEM-20310)

This new tab shows a summary of each security profile, giving the number of employees assigned to each profile. You have the flexibility to sort the information by Security Profile Name, Employee Number, or Employee Name, and apply filters to narrow down the list.

Your Jemini enhancements
New Zealand employees can now enter their own IRD number and tax code through Your Jemini
To make their onboarding process smoother, employees can now add their own IRD number and tax code in their Tax Details bubble. Jemini automatically hides other tax-related information from employees, which still need to be added by managers or system administrators. Once the Tax Details record is saved, the information will become read-only for the employee.
To enable this feature, adjust the Permissions settings for employees in System > Security Profiles.

What’s fixed?
Here's what we've fixed since the last release:
In the Turnover Analysis* report, we improved clarity by converting the pie charts for ‘% Turnover by Generation’ and ‘% Turnover by Gender’ into a bar graph. This change eliminates confusion and allows for easier comparisons across different categories (JEM-20165)
The Pay Transactions import now works for employees whose occupancy end date is in the past (JEM-20108)

What’s new in Pay?
New Back Pay feature!
Employees can now receive back pay when you update their Pay Rate record
Back pay is money owed to employees for past work that wasn’t paid accurately at the time. When you update a Pay Rate record with a START DATE before the latest processed pay cycle, Jemini will recognise that the employee might be owed back pay. New settings will appear to allow you to set the back pay dates. Depending on the dates you enter, the employee will be paid with the next regular pay cycle or through an ad hoc pay cycle.
You can review the back pay transactions in Pay Mode. The Salary Rate (or Hourly Rate) and Leave will have a separate back pay transaction line. Back pay that's calculated for all other transactions, such as KiwiSaver and ESCT, will be a combined value.

Payroll Transaction Configuration enhancement
You can now indicate that a voluntary after-tax transactions applicability isn’t applicable when gross and net earnings are 0
When adding a new applicability to a voluntary after-tax transaction in Payroll Transaction Configuration, you’ll find a new toggle called ONLY DEDUCT WHEN PAID. When this toggle is set to Yes, the system will ignore this applicability to avoid negative net pay and third parties deductions being paid when an employee hasn’t contributed to their voluntary deductions.

When you add leave through a third-party app that’s integrated with Jemini, and you’re part way through processing a Pay Cycle, Jemini will automatically recalculate those employees
This update removes the need to manually recalculate the pay cycle using the RECALCULATE REQUIRED ONLY button to include the leave transactions, preventing the issue of 0-value leave payment transactions in Pay Mode.

You can now hide the ‘Create payslip data extract’ button in Pay Cycles
If you find that you don’t require payslip data extracts during pay cycle processing, you now have the option to hide the 'Create Payslip Data Extract' button. To do so, go to System > Application Settings, choose Payslip, and then select ‘Display Create payslip data extract button’ to open the Application Setting panel. The default setting will be ‘No’. Change VALUE to ‘Yes’ to make it visible or ‘No’ to keep it hidden.

New report: Cost Centre Pay
This report displays pay data for pay periods summarised at a cost centre level. Along with current pay period details, it also pulls in data for pay periods ending in the last five weeks.
There are two tabs:
Cost Centre Pay Summary – Shows the total pay data amounts.
Cost Centre Pay Detail – Shows the pay data details for each transaction.
This report refreshes every 24 hours. To fetch live data, we recommend using the paginated versions of the report: 'CostCentreGLSummary Paginated' or 'CostCentre GLDetail Paginated'.
Filter by: Is Standard Pay Cycle Run?, Is Current Pay Cycle Run?, Payroll, Legal Entity, Pay Cycle, L1-L4 Cost Centre Code, and L1-L4 Cost Centre Name.

A ‘Rebuild employee access’ button in the manager’s User Profile will refresh their employee access list, making all their employees visible to them. This enhancement address the problem of certain managers being unable to view their new employees during onboarding or reporting line changes.

KiwiSaver enhancement
A new option, ‘N/C’ (Non Contributing), is now available in the EMPLOYER CONTRIBUTION RATE list
When adding or updating a KiwiSaver record, you can select ‘N/C’ as the EMPLOYER CONTRIBUTION RATE if the employee is part of another non-KiwiSaver scheme, or if the employee is under 18 or over 65. ‘N/C’ corresponds to a 0% contribution rate.

Tax Details enhancement
For contractors receiving schedular payments, you can now include the tax rate percentage and schedular payment activity in their Tax Details record
When updating a Tax Details record with TYPE OF TAX UPDATE set to ‘IR330C - Contractor Tax code declaration’ and TAX CODE set to‘WT’, you can now specify the SCHEDULAR ACTIVITY DESCRIPTION and TAX RATE %. Tracking contractors in this way can help streamline reporting processes.

We've enhanced the clarity of error messages when adding or updating eLearning courses in Upskilling
Sometimes an eLearning course requires extra configuration and will error when it’s not set up properly. In this case, the error message will encourage you to reach out to the Jemini team for support, rather than vaguely stating that there’s an error.

‘Salary Trend-Salaried Employee’ and ‘Salary Trend-Waged Employee’ enhancements
Introduced a new filter named 'Employment Status Flag’. This filter lets you select from options like 'present,' 'future terminated,' and 'terminated' employees.
Updated the 'Avg Annual Salary by Gender' graphic in the Pay Gap Analysis tab. Now, you can easily toggle between viewing values in dollars (‘Amount’) and percentages (‘Percent’), with the highest dollar category set as 100%.

New report: Leave Plan Configuration*
This report provides insights into the configuration of leave plans in Jemini, offering a detailed breakdown of each plan. It has a similar setup to the Pay Transaction Configuration report.
There are two tabs:
Employee Leave Plan Listing: This tab displays the general configuration details of each leave plan.
Sub Entitlements: This tab displays the sub-entitlement details associated with each leave plan.
Filter by: Entitlement Amount, Maximum Carry Over Balance, Minimum Leave Balance To Remain When Requesting Leave, Percentage To Pay For Accrual On Termination, Service Duration, Leave Plan Name, Leave Plan Alias, Leave Plan Start Date, Leave Plan End Date, Country, Leave Type, Available To All, Paid, Payroll Transaction, Evidence Required, Employee Can Request This Leave, and Has a Balance.

Employee profile and KiwiSaver enhancements
An employee’s birth date is no longer required when opting out of KiwiSaver
If you choose not to enter a birth date in the employee profile, you’ll now receive a warning message instead of an error message, which allows you to acknowledge that the birth date has been left blank. This enhancement allows you to set a KiwiSaver status to Opt Out, Not Eligible, or Non Member without requiring a birth date. (JEM-18845)
Performance catalogue – new feature
Managers with access to the Performance Cards Catalogue can now easily duplicate performance cards in the Performance Cards Catalogue
When you select the new Duplicate Icon in the top right corner of a performance card, a panel will open, displaying the same settings as the original card. You can enter a new name, make any necessary adjustments, and select the Green Tick Button to create the new card. This enhancement saves time when creating multiple performance cards.

People reporting enhancements
The Employee Headcount Analysis* report now has four new ‘drill through’ options: Starters Details, Leavers Details, Employee Headcount Details, and Employee Headcount Details - Last Year
You can right click on a visual to drill through and see new starters, terminations, all employees, and employees from the previous year. This drill through function is also date specific, so it is possible to drill through for a specified point in time. For example, you can drill through to show all employees who worked in November last year.

In Payroll Setup, an error message displays as expected if the date entered is after the last available Pay Period Date (JEM-4773)

The new Multiple Employments feature addresses the challenge of managing employees who work in multiple roles or have multiple employment contracts within an organisation
Multiple Employments allows for various scenarios, such as:
An employee who’s employed under two or more employment contracts with differing pay-related information.
An employee who’s employed under one employment contract, but they work in multiple roles within the organisation.
For HR and Payroll Managers:
You can manage multiple employments in the Employment Manager, found in the employees application. Before you begin, activate the Employment Manager by enabling the ‘Employee Employment’ permission setting in the relevant Security Profiles (reach out to a Jemini consultant for help if needed).
To open the Employment Manager,go to PEOPLE > EMPLOYEES > ‘Select an employee’ > Action (the button not the bubble) > Manage employments.
The Employment Manager is where you can manage multiple employment records
The employment records are date effective, which means you can create and track various stages of employment: current, forecasted, or historical.
Select Add a new employment to create additional employments.
Select the Pencil Iconon the existing employments to edit them.
Within each employment record, you can manage Employment Streams
An Employment Stream refers to a distinct employment record within an organisation. It’s like a separate channel that holds details specific to a particular role or contract for an employee. For example, if an employee works in two different roles, each role would have its own employment stream with relevant information. Managers can switch between these streams to manage different roles efficiently.
Select the Pencil Icon to edit the Employment Stream records.
Each Employment Stream record becomes a new employee card in the Employees application
Any employee who has multiple employments will have multiple employee cards in the Employees application, indicated by the ‘ID card’ icon on the right of the cards. These cards represent different Employment Streams and contain details for each position connected to the employee. Select the relevant card for the position you’re managing—each card can be identified by their unique POSITION names. The employee’s occupancy, relevant payroll-related details, and other elements of the employee’s journey can be managed for each employment in the relevant cards.
For employees:
If you have multiple employments, switch between Employment Streams using the ‘J’ menu in the top right-hand corner. The highlighted Employment Stream will allow you to access all details related to that specific employment.
Depending on how your employer has set up your multiple employments, your pay for each employment will be paid separately or they’ll be consolidated
If you expect to receive separate payments for each of your roles, you’ll receive a payslip for each payment. If you expect to receive one payment, you’ll still receive a payslip for each role, but your net pay will be consolidated. Switch between Employment Streams to view and download the payslip for each of your employments.

We’re steadily updating the reports to display Multiple Employments and Employment Streams information as needed. Given the extensive nature of these updates, we’re making progress across all reports systematically. Here’s what’s ready for you so far:

The Direct Credit Check report now has three extra columns after ‘First Name’ to aid in identifying each employment: ‘Employment Name’, ‘Employment Stream’, and ‘Position Title’.
The Employee Pay Details report now includes new ‘Employment Name’ and ‘Employment Stream’ columns at the end, plus a separate ‘Pay Rate Pay Level’ column between ‘Classification Pay Level’ and ‘Rate Code Name’.
We’ve reformatted the Emp Pay Calculation Paginated report to replicate the Pay Mode bubble in Jemini. We’ve also included the ‘Employment Name’ and ‘Position Title’ (Employment Stream) in the report to display groupings by Multiple Employments.
Tip for those not using the Multiple Employments feature
In the updated reports, you’ll notice every employee has an ‘Initial employment’ listed as their Employment Name and ‘Initial employment stream’ as their Employment Stream. These terms are just placeholders indicating the primary employment and can be ignored.
Upskilling Course Compliance Feature
(This feature was included with Version Jem 30.4.0, released 4 May 2024)
Track critical Upskilling courses by assigning due dates to them
If you have Upskilling courses that are mandatory for certification compliance or similar, you can now assign due dates to keep track of their status.
Due dates can be set at curriculum or course level. There are multiple ways to do this in the employee’s Upskilling Tasks View:
In the employee’s Curriculum Catalogue:
Select the new Assignment Icon in the top right corner of a curriculum or card to open the ASSIGN CURRICULUM panel. Here you can enter the DUE DATE. You can also set curriculum tags. Alternatively, you can SET INDIVIDUAL COURSE DUE DATES AND TAGS to Yes or No. When set to Yes, you can assign due dates and course tags to each course that’s attached to the curriculum, as shown in the screenshot below. When you select the Green Tick Button, the curriculum will add itself to the employee.
In the employee’s Course Catalogue: Select the new Assignment Icon in the top right corner of the course card to open the ASSIGN COURSE panel. After assigning the course to a curriculum, you can enter the DUE DATE. You can also set course tags. (NOTE: If the due dates and tags are set on the assigned curriculum for that course, you’ll need to edit the curriculum instead). When you select the Green Tick Button, the curriculum will add itself to the employee.
For curricula that have already been assigned to an employee: Edit the curriculum by selecting theEdit icon on the curriculum header. In the curriculum’s editing panel, you can assign a DUE DATE for the whole curriculum or SET INDIVIDUAL COURSE DUE DATES AND TAGS.
For courses that have already been assigned to an employee: Select the course card to open the EMPLOYEE UPSKILLING COURSE panel. Scroll down to the new Assignment section to edit the DUE DATE. However, if the due dates and tags are set on the curriculum for that course, you’ll need to edit the curriculum instead.
When an Upskilling course that has a due date is assigned to an employee, you can easily determine when the course is due in their Upskilling Tasks view. The course card will show the DUE DATE. If it’s overdue, the border will turn red, and the COMPLETION status will display ‘Overdue’.

These extracts can still be manually triggered through Team Leave, regardless of the application settings.

New Pay report
New report: Quarterly Statistics Paginated
This report provides a summary and detailed information on Full Time Employees (FTE), Total Pay, Total Hours, Total Filled Jobs, Average Weekly Paid Hours, Average Weekly Earnings, and Average Hourly Earnings within selected payroll dates. It aligns with the requirements of Stats NZ for their Quarterly Employment Survey.
For this report to function as expected, adjust each Transaction Applicability you want to view in the report by changing their ‘STAT REPORT SETTING’ to ‘Commission & Bonuses’, ‘Ordinary Time’, or ‘Overtime.’ By default, the setting is configured as ‘Do not include in stat report’.
To use the report, select one or more payrolls and choose the desired timeframe, then select ‘View report’.
The ‘Pay Variance’ report now includes a filter for future pay cycles
If you prepare payruns in advance and post-date the payment dates, this filter allows you to verify the accuracy of future payments.

Since introducing the ‘Calculate required only’ and ‘Recalculate required only’ buttons, we’ve made significant performance enhancements. As a result, this functionality became unnecessary. The ‘Calculate all employees’ and ‘Recalculate all employees’ buttons now efficiently handle pay cycle processing.

New feature: Upskilling course compliance
Track critical Upskilling courses by assigning due dates to them
If you have Upskilling courses that are mandatory for certification compliance or similar, you can now assign due dates to keep track of their status.
Due dates can be set at curriculum or course level. There are multiple ways to do this in the employee’s Upskilling Tasks View:
In the employee’s Curriculum Catalogue:
Select the new Assignment Icon in the top right corner of a curriculum or card to open the ASSIGN CURRICULUM panel. Here you can enter the DUE DATE. You can also set curriculum tags. Alternatively, you can SET INDIVIDUAL COURSE DUE DATES AND TAGS to Yes or No. When set to Yes, you can assign due dates and course tags to each course that’s attached to the curriculum, as shown in the screenshot below. When you select the Green Tick Button, the curriculum will add itself to the employee.
In the employee’s Course Catalogue: Select the new Assignment Icon in the top right corner of the course card to open the ASSIGN COURSE panel. After assigning the course to a curriculum, you can enter the DUE DATE. You can also set course tags. (NOTE: If the due dates and tags are set on the assigned curriculum for that course, you’ll need to edit the curriculum instead). When you select the Green Tick Button, the curriculum will add itself to the employee.
For curricula that have already been assigned to an employee: Edit the curriculum by selecting theEdit icon on the curriculum header. In the curriculum’s editing panel, you can assign a DUE DATE for the whole curriculum or SET INDIVIDUAL COURSE DUE DATES AND TAGS.
For courses that have already been assigned to an employee: Select the course card to open the EMPLOYEE UPSKILLING COURSE panel. Scroll down to the new Assignment section to edit the DUE DATE. However, if the due dates and tags are set on the curriculum for that course, you’ll need to edit the curriculum instead.
When an Upskilling course that has a due date is assigned to an employee, you can easily determine when the course is due in their Upskilling Tasks view. The course card will show the DUE DATE. If it’s overdue, the border will turn red, and the COMPLETION status will display ‘Overdue’.

New report: IRD Processing Status
This report provides the accurate IRD processing status for the employment information file in each pay cycle. Occasionally, the IRD submission status displayed in Jemini may not reflect the true submission status, so use this report to view the actual status.
The ‘Sub-Duration in Years’ field in Leave Plans now only accepts up to a two-digit number. Previously, it allowed five-digit numbers, which caused an issue in the Leave Balance report. This recent change ensures that both scheduled and ad hoc Leave Balance reports can be run successfully (JEM-20463)
When an employee tries to request leave, Jemini will check for future bookings and display a warning or error message if it would exceed their remaining balance (JEM-19018)
If you change the location of a transaction after it’s attached to the employee, the employee’s Pay Mode will now display an error message indicating that the transaction’s applicability no longer exists (JEM-19563)
When you save a User Profile, it will retain the 'All employees and all payrolls' filter setting when changed to 'Yes', as expected (JEM-20028)

New Zealand employees can now enter their own IRD number and tax code through Your Jemini
To make their onboarding process smoother, employees can now add their own IRD number and tax code in their Tax Details bubble. Jemini automatically hides other tax-related information from employees, which still need to be added by managers or system administrators. Once the Tax Details record is saved, the information will become read-only for the employee.
To enable this feature, adjust the Permissions settings for employees in System > Security Profiles.

What’s new in Pay?
New Back Pay feature!
Employees can now receive back pay when you update their Pay Rate record
Back pay is money owed to employees for past work that wasn’t paid accurately at the time. When you update a Pay Rate record with a START DATE before the latest processed pay cycle, Jemini will recognise that the employee might be owed back pay. New settings will appear to allow you to set the back pay dates. Depending on the dates you enter, the employee will be paid with the next regular pay cycle or through an ad hoc pay cycle.
You can review the back pay transactions in Pay Mode. The Salary Rate (or Hourly Rate) and Leave will have a separate back pay transaction line. Back pay that's calculated for all other transactions, such as KiwiSaver and ESCT, will be a combined value.

Payroll Transaction Configuration enhancement
You can now indicate that a voluntary after-tax transactions applicability isn’t applicable when gross and net earnings are 0
When adding a new applicability to a voluntary after-tax transaction in Payroll Transaction Configuration, you’ll find a new toggle called ONLY DEDUCT WHEN PAID. When this toggle is set to Yes, the system will ignore this applicability to avoid negative net pay and third parties deductions being paid when an employee hasn’t contributed to their voluntary deductions.

You can now hide the ‘Create payslip data extract’ button in Pay Cycles
If you find that you don’t require payslip data extracts during pay cycle processing, you now have the option to hide the 'Create Payslip Data Extract' button. To do so, go to System > Application Settings, choose Payslip, and then select ‘Display Create payslip data extract button’ to open the Application Setting panel. The default setting will be ‘No’. Change VALUE to ‘Yes’ to make it visible or ‘No’ to keep it hidden.

When adding or updating a KiwiSaver record, you can select ‘N/C’ as the EMPLOYER CONTRIBUTION RATE if the employee is part of another non-KiwiSaver scheme or if the employee is over 65. ‘N/C’ corresponds to a 0% contribution rate.

Tax Details enhancement
For contractors receiving schedular payments, you can now include the tax rate percentage and schedular payment activity in their Tax Details record
When updating a Tax Details record with TYPE OF TAX UPDATE set to ‘IR330C - Contractor Tax code declaration’ and TAX CODE set to‘WT’, you can now specify the SCHEDULAR ACTIVITY DESCRIPTION and TAX RATE %. Tracking contractors in this way can help streamline reporting processes.

‘Salary Trend-Salaried Employee’ and ‘Salary Trend-Waged Employee’ enhancements
Introduced a new filter named 'Employment Status Flag’. This filter lets you select from options like 'present,' 'future terminated,' and 'terminated' employees.
Updated the 'Avg Annual Salary by Gender' graphic in the Pay Gap Analysis tab. Now, you can easily toggle between viewing values in dollars (‘Amount’) and percentages (‘Percent’), with the highest dollar category set as 100%.

Payslip enhancement
When you override a transaction in Pay Mode, the Employee Payslip now reflects this change, including the comment explaining the reason for the override
The rate amount for this transaction is also excluded from the payslip.

Employee profile and KiwiSaver enhancements
An employee’s birth date is no longer required when opting out of KiwiSaver
If you choose not to enter a birth date in the employee profile, you’ll now receive a warning message instead of an error message, which allows you to acknowledge that the birth date has been left blank. This enhancement allows you to set a KiwiSaver status to Opt Out, Not Eligible, or Non Member without requiring a birth date. (JEM-18845)
Performance catalogue – new feature
Managers with access to the Performance Cards Catalogue can now easily duplicate performance cards in the Performance Cards Catalogue
When you select the new Duplicate Icon in the top right corner of a performance card, a panel will open, displaying the same settings as the original card. You can enter a new name, make any necessary adjustments, and select the Green Tick Button to create the new card. This enhancement saves time when creating multiple performance cards.

People reporting enhancements
The ‘Employee Headcount Analysis*’ report now has four new ‘drill through’ options: ‘Starters Details’, ‘Leavers Details’, ‘Employee Headcount Details’, and ‘Employee Headcount Details - Last Year’
You can right-click on a visual to drill through and see new starters, terminations, all employees, and employees from the previous year. This drill through function is also date specific, so it is possible to drill through for a specified point in time. For example, you can drill through to show all employees who worked in November last year.

We’ve improved how continuous leave that has been split over multiple leave requests is calculated (JEM-17260)
During our routine internal testing, we identified a small yet crucial issue affecting access to pay cycles when a public holiday has been applied to the current pay period of an employee's pay mode. The fix will be implemented in all production environments before any upcoming public holidays. (JEM-19363)
In Payroll Setup, an error message displays as expected if the date entered is after the last available Pay Period Date (JEM-4773)
If you start typing an employee name in the search field on the employee landing page in SD (Standard Definition) mode, the filters will remain visible (JEM-7782)

PAYE (Pay As You Earn) is a system in New Zealand where taxes are automatically deducted from an employee's salary or wages by their employer and sent to the government.
Average Daily Pay (ADP) in New Zealand payroll is used to pay public holidays, sick leave, bereavement leave, and alternative holidays. It's calculated by dividing an employee's total gross earnings in the past 52 weeks by the sum of whole or part days they worked or were on paid leave during that time. It's used as an alternative to Relevant Daily Pay (RDP) when RDP can't be calculated.
