The Jemini production environments are currently scheduled to be updated from 9pm (NZST) / 7pm (AEST) on Friday, 19 May 2023.

Any new features or enhancements since the draft Jem 29 release notes were published will be shown in this blue.


Release notes addendum - updated 16 May 2023

After we published the Jem 29 release notes, we made some enhancements to the reports in your production environment.
To keep you updated, we've added this addendum. We'll also add these report enhancements to the next publication of release notes.

Deduction Extract report enhancements
If you use a third party for deductions, you may need to take note of these changes to the Deduction Extract report:

  • Renamed Staff Member to Employee Number
  • Removed FirstName
  • Added Employee Name
  • Renamed LastName to Last Name
  • Renamed Code Type to Transaction Code
  • Renamed Component to Transaction Label
  • Added Is Third Party Payment

Employee Pay Rate History report enhancements

  • The report's title and tab have been changed to Employee Pay Rates instead of Employee Pay Rate History.
  • We've added two new columns:Occupancy Start and Occupancy End.
  • Report now includes any employee pay rate record changes scheduled for the future.
  • It also includes all the details about the employee's occupancy within the pay rate start and end dates.
  • We've added this description under the report header: For an employee, Pay Rate Start and End Date records (current/forecast/historical) could cross over different employee occupancies (current/forecast/historical). Hence 'Alt Rate' or the 'Hourly Pay Rate' for a Pay Rate Record is calculated based on the Actual Hours Per Week on the Occupancy at that point in time.

What's new in Pay?


Payroll enhancements

NEW! You can now enter negative hours worked on payroll transactions

You can enter a negative value in HOURS WORKED when adding or editing a payroll transaction. This functionality can be useful when an employee has worked more hours than allowed and you need to compensate for an overpayment.

If an employee has ADP set to Yes, and New Zealand BAPS pay is used as a calculation rule, you can choose if the employee should be paid 'greater of ADP or RDP' or just 'ADP'
You can find this setting in the employee’s Occupancy in the Leave Configuration section. If USE AVERAGE DAILY PAY FOR LEAVE CALCULATION is set to Yes, then the option PAY GREATER OF ADP AND RDP WHEN ON LEAVE will become visible, which can also be set to Yes. The default setting is No.

We’ve added new functionality to identify if a transaction is a penal rate transaction or not
A penal rate is an extra payment to an employee for working on particular days outside of their regular working hours (for example, on weekends).
The penal rate can be defined in the Pay transaction configuration or an employee’s Pay mode.
If it’s not a penal rate, the transaction will be multiplied by 1.5.

Pay reporting enhancements

NEW! We've tidied the Employee Pay Calculation report by removing and renaming two tabs
  • We removed the Pay Summary tab.
  • We renamed the Pay Transaction Details tab. It’s now called Pay Calculation Summary.

New Report: Pay Audit
Use the Pay Audit report to see who and what has changed for the following employee pay details:

  • Employee Pay Rate
  • Employee Occupancy
  • Employee Bank Account
  • Employee Ongoing Pay Transactions

The Employee Leave Events report now allows you to view the leave events of a terminated employee
We’ve added an Employee Status filter to the Employee Leave Events report (default status is set to Present Employee). To view terminated employees, deselect Present Employee and select Terminated Employee.

What's new in People?


Onboarding - New Feature!

NOTE

Please speak to your consultant before initiating Onboarding in Jemini. Training will be available soon.

You'll need to grant Onboarding permissions in the appropriate security profiles (System > Security Profile) before users can access Onboarding.

Create and manage onboarding workflows in Jemini's new Onboarding feature
Onboarding allows a super user (system administrator) to set up onboarding workflows to effectively manage and assign tasks that are necessary to onboard new employees.

If access has been granted to the relevant Security Profiles, Onboarding can be found in:

  • People > Lifecycle > Onboarding
  • Your Jemini > Lifecycle > Onboarding

Within an onboarding workflow, you can create onboarding steps. Within these steps, you can attach onboarding tasks that can be assigned to various users to complete.

Once an entire workflow is set up, it can be assigned to a new starter who'll be able to view their onboarding tasks when they sign into Jemini.

Employees and Managers can view and complete tasks that have been assigned to them. Additionally, tasks may be assigned to other position establishments, provided that the user has been granted access to Onboarding through their Security Profile.

Create Action or Profile onboarding tasks that will complete other bubbles or cards within the Action or Profile bubbles
When you add an onboarding task and select Action or Profile as the Task Type, you can select the relevant bubble or card within the Action or Profile bubbles (for example, Occupancy, Pay Rate, Emergency Contacts, Health, and so on).
When the task is attached to an onboarding workflow, the assigned user will be able to add, change, or delete the Action or Profile bubbles from within the workflow instead of having to navigate to the bubble separately, provided that they have permission to do so.
Only Managers can be assigned to complete Action tasks.
NOTE: Upskilling, Performance, and Aspirations onboarding tasks will be available in a later release.

Employee demographics enhancement

You can now select multiple iwi in the Demographic bubble
If an employee belongs to more than one iwi, their profile can be updated to reflect that.

  1. Select the DEMOGRAPHIC bubble in an employee's Profile bubble.
  2. In the Iwi section of the ADD DEMOGRAPHIC panel, select Add Iwi, then enter one of the employee's IWI REGIONs and IWI.
  3. To add a second iwi, select the Add Iwi button again to add the second IWI REGION and IWI.
  4. Continue adding iwi as required.

Employees can add their iwi using the same process in Your Jemini > Profile > Demographic.

Long service leave enhancements – Australia only

You can now set specifics for an employee so that long service leave can be correctly calculated
(Australian employees only)
To pay an employee correctly for long service leave, you can set two new fields in the Pay Rate panel to Yes or No:

  • EMPLOYEE HAS NO STANDARD ORDINARY PAY RATE FOR LSL
  • EMPLOYEE HAS NO STANDARD HOURS FOR LSL CALCULATION

NOTE: The first field will only show if the employee has got an occupancy from New South Wales. The second field will only show if the employee has got an occupancy from South Australia. At the time of the Jem 29 release, these fields will only show on the EDIT or ADD Pay Rate panels, not when adding Essentials (new employee).

Enter up to four decimals in the ENTITLEMENT AMOUNT and SUB-ENTITLEMENT AMOUNT fields when adding a leave plan
(Australian employees only)
This enhancement is required to allow you to enter the correct entitlements for long service leave in Australia.

People Reporting enhancements

NEW! With the exception of the Curricula Summary report, all Upskilling reports can now be filtered by active and inactive employee curricula

A new filter (Is Employee Curricula Active) has been added to all Upskilling reports except the Curricula Summary report.
The Curricula Summary report excludes employee curricula that are inactive.
Location: People > Lifecycle > Upskilling > Reporting.

NEW! The Training Time Summary report now shows all historical and current course registrations

All instances of an employee’s course training time record are now in the report. For example, when the employee has completed the course multiple times, the report will show each course training time record.
You can filter out historical instances of the course.

New filters:

  • Is Course Registration Record Current or Historical?.
  • Is Employee Curricula Active

New column in all tables:

  • Course Instance (shows whether the course is historical or current)

New report: Employee Entitlement to Work
See who has entitlement to work by type. Additional tabs let you see historical, current, and expired entitlement to work records.
Location: People > Reporting.

New report: Service Tenure Analysis
The Service Tenure Analysis report allows you to view your business's length of service trends. Any manager can view this report. You can view how long an employee has been with the company. There's a range of metrics to drill through employees by their length of service and milestone tenures.
Location: People > Reporting.

New report: Occupancy As At Date
This report has an as at date, which is great for seeing what occupancy the employee was occupying at a specific date. This report is suitable for any manager.

The Salary Trend-Waged Employees report now has a Position Classification filter
We’ve also reordered the columns in the tables to show pay rate information in the first few columns.

The Course Completion Summary report has a new filter that excludes inactive employee curricula by default
The Employee Curricula Active filter has the Yes option automatically selected. Deselect Yes and select No to view inactive employee curricula, or Select all to view both.

Business reporting enhancements

New report: Position Establishment vs Occupancy FTE Comparison
Position Establishment vs Occupancy FTE Comparison Summary tab: Review the Position Establishment FTE (full-time equivalent) vs the Occupancy FTE on a particular date. Select the date from the As At Date drop-down list.
Position Establishments & Occupancies tab: View detailed information about the position establishments and occupancies.
Filters (first tab only): Position Organisation Component, Position DateEffective StartDate, and Position DateEffective EndDate.

What's new in System?


Onboarding - New Feature!

As part of the onboarding process, you can set up a custom welcome message for new employees that will automatically send once you've created their occupancy record
First, create the welcome message by selecting Add Notification in System > Notification catalogue (when choosing the Notification Feature, you must select Occupancy).

Once you've created the welcome message, go to the employee's Occupancy bubble and enter their new occupancy details. Select your custom welcome message from the Notifications backpack.

The welcome email will be sent to the employee on the designated day before or after their occupancy start date.

NOTE: Make sure the employee's email address has been added to their User Profile so that the welcome message can be sent.

Alternatively, if you have the new Onboarding functionality set up, you can attach the welcome message to the Occupancy task in the Onboarding System Workflow.

Long service leave enhancements – Australia only

A payroll user can upload the transaction amounts needed in long service leave calculations for some Australian states using the Import Pay Transactions functionality
(Australian employees only)
This enhancement means there's no need to create a pay cycle for every one of the employee's pay cycles. Instead, you can upload the data for each pay cycle and upload the data for the remainder of the entire service period in one pay cycle.

Import leave balances for long service leave periods that are taxed differently upon an employee’s termination
(Australian employees only)
When an employee terminates and has been working for the company since before 1993, the long service leave balance must be imported for the periods before that. The leave balances will be used upon termination to correctly tax the long service leave payout.

How to give users access to new reports

We've created four new reports. Here's a reminder on how to give users access to them

  1. Go to System > Security Profiles.
  2. Open the required security profile.
  3. Select the Action button.
  4. Select Edit this security profile. The SECURITY PROFILE panel will open.
  5. Open the Select report backpack (you may need to scroll down the panel to find it).
  6. Select the new reports as required (see list in release notes below).
  7. Select Submit icon to close REPORT panel.
  8. Select Submit icon to close SECURITY PROFILE panel.
  9. Let the user know that they should have access to view the report.

You can check which reports a user has by viewing the Power BI Report Catalogue* under System > Reporting.

What else is new?


Miscellaneous enhancements

Cancelled leave request emails now contain the leave details in the subject line
To match the format of other Jemini-generated notification emails, when an employee's leave is cancelled, the notification sent to the manager will contain the employee's name, the type of leave, and the leave date in the email subject line. The details in the subject line help the manager quickly identify the email's purpose.
