How to add an Employee's Entitlement to Work record

The entitlement to work functionality, found in an employee's profile bubble, allows you to keep records of your employee's work entitlements. Examples of entitlement to work records are:

  • proof of citizenship (like a passport or birth certificate)
  • resident or work visas
  • driver licences

You can add more than one record of entitlement to work, and the records are date effective so that you can set them to expire if necessary.

TIP

Permission needs to be granted in the user's security profile before they can access the Entitlement to Work bubble. To grant access:

  1. Go to System | Security profile.
  2. Select the security profile card you wish to edit (in this case: Manager).
  3. In the Permissions table, select EMPLOYEES to expand list.
  4. Select Employees application to expand list again.
  5. Find Employee Entitlement to Work in the list.
  6. Select the View, Add, Change, and Delete checkboxes as required.
  7. Select Green Tick Button to save the table.
  8. Repeat the process for the Employee security profile if needed.
  9. Let your managers and employees know they can access the Entitlement to Work bubble.

How to add an Entitlement to Work record

  1. Go to People | Employees.
  2. Select the employee you need to manage.
  3. Go to Profile | Entitlement to work. The dated ENTITLEMENT TO WORK panel will open.
  4. Select Add an entitlement record to open the ADD ENTITLEMENT TO WORK panel.
  5. Enter the record's START DATE. For example, this can be the issue date or the date when you enter the record into Jemini, depending on your company's requirements.
  6. Enter the record's END/EXPIRY DATE (if applicable).
  7. Select the ENTITLEMENT TO WORK TYPE. For example, select Driver Licence.
  8. Enter the record's ID NUMBER (if applicable). For example, enter the driver licence ID number.
  9. Enter NOTES to support the record (if applicable).
  10. Add ATTACHMENTS or LINKS (if applicable). For example, a digital copy of a driver licence can be attached.
  11. Select the Green Tick Button.

Once you select the Green Tick Button, you'll then see the record has been added to the dated ENTITLEMENT TO WORK panel.

How to edit an Entitlement to Work record

  1. Go to People | Employees.
  2. Select the employee you need to manage.
  3. Go to Profile | Entitlement to work. The dated ENTITLEMENT TO WORK panel will open.
  4. Select Update an entitlement record to open the ADD ENTITLEMENT TO WORK panel.
  5. Enter the record's START DATE. For example, this can be the issue date or the date when you enter the record into Jemini, depending on your company's requirements.
  6. Enter the record's END/EXPIRY DATE (if applicable).
  7. Select the ENTITLEMENT TO WORK TYPE. For example, select Driver Licence.

How to delete an Entitlement to Work record

You can delete an entitlement to work record if the Delete icon on the record is red.

Manage the Entitlement to Work core table

The entitlement to work types are customisable if you have access to the People core tables (Go to People | People core tables). You can add, edit, or delete the entitlement types and activate or deactivate them in the core table.
