What's new in Pay?
Payroll enhancements
Jemini will calculate the Relevant Daily Pay for every day the employee is on leave instead of at the start date of the leave
Calculating the Relevant Daily Pay for every day of leave will be useful when the employee has a pay rise during their leave. The employee would then be paid at the higher rate from the date of the pay rise.

Set how annual leave is calculated after parental leave for AWE/OWP/OWP4 week calculation rule
(New Zealand only)
An application setting allows you to determine whether Annual Leave after Parental Leave will be paid using Average Weekly Earnings or paid using Greater of Average Weekly Earnings/Ordinary Weekly Pay/Ordinary Weekly Pay 4 Week calculation if you use the Greater of AWE/ OWP/ OWP4 week calculation rule.
Go to System > Application Settings > Payroll > New Zealand > Annual leave payment after Parental leave and select Average Weekly Earnings or Average Weekly Earnings versus Ordinary Weekly Pay.

You can now export the same data in the payslip to a .CSV file
If a pay cycle has been paid, the Progress section will have a Create payslip data extract button, which will let you download the payslip data in .CSV format.

You can now base Super calculations on an Accumulator value
Choose to base the calculation for Super in New Zealand on an Accumulator value instead of using the base pay. NZ Super Employer/Employee Accumulators calculation rule needs to be selected, and you need to ensure the accumulator is selected for all the applicabilities you would like to include in the calculation.

You can now set the Pay Multiplier on employee pay transactions
Previously, the pay multiplier could be set on the applicability for transactions with hourly pay calculation rule or AU Leave Pay/NZ Leave Pay calculation rule.
The new functionality allows you to change the Pay Multiplier on the Employee Pay Transaction (Pay Mode) so the multiplier used can be different for every employee that uses the same applicability.
When you import a pay transaction, you can enter the Pay Multiplier where applicable.

You can now set up a payroll with quarterly pay frequency
In Payroll setup, when entering new payroll details in the ADD PAYROLL panel, you can set PAYROLL FREQUENCY to Quarterly.

Pay reporting enhancements
We've updated more of our reports to align with the new Row Level Security format, which means only users with Security Profiles that have been granted permission can access them
You'll need to add the below reports to the Security Profile again, if they had them prior to this release.
- Go to System > Security Profiles.
- Open the required security profile.
- Select the Action button.
- Select Edit this security profile.
- Scroll down to view the reports that display and add the new ones as required.

We've updated the Pay Transaction Paginated report to include transaction start and end dates
The Transaction parameter was picking up all transactions, whether they were in the pay cycle or not. We've changed this so that only transactions for that pay cycle show.

What's new in People?
Leave enhancements
Casual employees, without Agreed Hours Per Week or Agreed Days Per Week set, can now have a leave plan attached with a balance in days
(New Zealand only)
Previously: Casual employees couldn't have leave balances attached if they didn't have Agreed Hours Per Week or Agreed Days Per Week set. This was because the balances needed to be converted to other units.
Now: Casual employees without Agree Hours/Days Per Week can have a leave plan attached with a balance in days.
Things to note when these employees request leave:
- The system can't determine the hours they're on leave, so only the days will be recorded for those leave events.
- The employees will be paid Average Daily Pay for the leave. This won't be converted to hours as we have to assume that they always go on leave for the full day. The hourly pay transaction will also not be adjusted for those employees.

We've created a temporary workaround allowing you to pay cash-outs correctly
In a later release, we will add cash-out requests to the Leave Request panel. In the meantime, when you add a leave transaction in the employee Pay Mode, you can set IS CASH OUT to Yes.

You can set the maximum carry over balance on sub-entitlements
When entering sub-entitlements to a Leave Plan, if CARRY OVER TOTAL BALANCE option is set to NO, you can enter the MAXIMUM CARRY OVER BALANCE. This option lets you enter a different maximum to carry over depending on what sub-entitlement the employee is in.

Performance enhancements
A super user (system administrator) with Performance override permission will now be able to lock down an employee's Performance Group
Locking down the employee's Performance Group means the employee and their manager can't edit the group any further.
To lock down the group, open the employee's Employee Performance Group card and change the LOCK EMPLOYEES PERFORMANCE GROUP setting from Yes to No. If you don't have override permission, that setting won't be visible.

You can now select who can add goals to Performance cards
In the Performance cards catalogue, both managers and employees could add goals to cards when the Add additional goals to card setting was turned on. We've changed the setting so that you can choose who can add additional goals to a card (a manager or an employee). The default setting allows both managers and employees to add goals to cater to existing data.
Upskilling enhancements
You can now set an employee's Upskilling course to repeat if you have override permission
This feature is helpful when an employee fails an Upskilling course and needs to attempt it again.
When an employee's course has been completed and moved to Done, you can open the course in Employee Upskilling and change REPEAT EMPLOYEE COURSE in the details panel to Yes. The course card will then move back into the To Do column.
The previous course attempt will be captured in the COURSE COMPLETION HISTORY section in the details panel and will be visible to both the employee and manager.

Employee Details report column name enhancements
We've changed two of the column names in the Employee Details report:
- Legal Entity Name is now Legal Entity

Miscellaneous People enhancements
You can now create new TFN declarations for employees when needed and still see their historical TFN declarations
(For Australian employees only)
Previously, only one TFN declaration could be added and couldn't be changed. Now, you can change the details when the situation of the employee changes.
Go to People > Employees > Employee > Action and open TFN Declaration to update or delete the declaration.

Import Leave Transaction enhancements
You can now import leave transactions with and without the leave start date
Set the leave start date for imported leave so the leave can be added to existing leave events when it is continuous leave and can be paid according to the rules of the Holiday Act.

Jemini will automatically determine the leave plan when importing leave transactions
When you import leave transactions, you won't need to set the leave plan when only one leave plan has the transaction set in the import.
However, when there are multiple leave plans for this transaction, the leave plan needs to be selected in the import file.

You can delete a leave transaction if you make a mistake during the import
If you've made a mistake during the import, delete the last leave transaction in an employee's Pay Mode. You can then import the leave transactions again.

What's new in Pay?
NEW! Import Pay Transactions enhancement
Import Pay Transactions now has a new field: Pay Multiplier
If you use the Import Pay Transactions feature, please make sure to add a new Pay Multiplier column between Hourly Rate and Hours Worked in your CSV file.
Employment Agreement - a new feature!
(see also: Employee Agreement in People section)
The new Employment Agreement bubble (found in Pay > Employment Agreement) allows you to set up the rates defined for classification on an employment agreement
These will be rates that apply to a group of employees. When adding transactions to those employees, rates will automatically be picked from the employment agreement, so they don't have to be set for each employee separately. HR/Payroll users will normally set up those rates.

A new pay rate type called Pay Level gives you the ability to set the pay level of the employee
When there are rates defined for a pay level, and the employee has a pay rate record for the same pay level, the rates for that pay level from the classification will be picked up on transactions.
NOTE: Pay levels are also set on the new employment agreement classification (see Employment Agreement bubble details above).

Payroll enhancements
You can enter the ACC Levy rate belonging to the BIC code of the organisation in the organisation component
This feature will allow you to calculate the ACC Levy to determine how much your organisation would need to pay at the end of the year.
Go to Business>Organisation Components>Organisation Components, open an organisation component and enter the organisation's ACC LEVY RATE FOR BIC CODE.
The rate can be overridden at employee level. Go to People>Employees>Employee>Action>Tax Details, open the tax record and enter the ACC LEVY RATE FOR BC CODE OF EMPLOYEE.

The Rate Code Name is now visible on the Pay Rate panel
If an employee has multiple rate code rates, the Rate Code Name on the Pay Rate panel makes it easier to see what pay rate card is for what rate code.

The work pattern will become read-only when an employee has been paid using that work pattern
You'll need to create another work pattern record if the employee has new work patterns.
Having read-only work patterns allows you to see the employee's work pattern history.

Hourly rates for one-off transactions will update automatically when new pay rates are added
When an employee gets a new pay rate, and there are hourly rate transactions on the pay mode of the employee, the hourly rate will now be updated automatically with the new rate for one-off transactions.

Pay reporting enhancements
New report: Employee Tax Certificates
Go to Security Profiles to add this report to the relevant security profiles.
Once a manager can access the report, they can select a Tax Year to extract any Pay Cycle Pay Date data paid between 1 April to 31 March of that year. Next, select the Legal Entity and one or more Payrolls, then View report. The report will list the End of Year Tax Certificates data based on your chosen parameters.

Go to Security Profiles to add this report to the relevant security profiles.
In addition to the interactive Super Fund Report, we've created a new Super Fund Paginated report that lets you quickly narrow down the data you need.
- First, select the parameters (Legal Entity, Payroll, Pay Period Start Date and Pay Period End Date).
- Then View report.
- The report will list the Employee Super Fund data based on your chosen parameters.

Employment Agreement - a new feature!

You can now set the employment agreement classification on the occupancy
We've added a backpack called Employee Agreement Classification to the Occupancy panel. While updating an occupancy record, you can open the Employee Agreement Classification backpack and select the employment agreement classification that the employee belongs to.
NOTE: The Employee Agreement Classification backpack will only be visible on the Occupancy panel when employment agreements have been set up for your organisation (see JEM-14851 in the Pay section of these release notes).

Employees will have the option to import their approved leave requests into their preferred calendar
When they receive the email notification for their approved leave request, an iCalendar (.ics) file will be attached, which they can download and import into their calendar.

Aspirations enhancements
A superuser (system administrator) can now add attachments and links to Aspirations Groups
Select the pencil icon on the group header to open the Aspirations Group panel. Go to the Content section and select Choose files or Add a link. Choose a file from your browser or enter the link's name and URL.
Once the superuser has added the links or attachments, the employee or manager will be able to access them when the group has been assigned to the employee. They can select the pencil icon on the group header to open the Aspirations Group panel. The attachments and links will be in the Content section. If no attachments or links have been added, the Content section won't be visible.

Performance enhancements
Performance cards can now be hidden in the employee card catalogue
When adding or editing a card in the Performance Cards Catalogue, you can set the Display Card in Employee Card Catalogue to Yes or No. Setting to Yes will display the card, and setting to No will hide it.

Organisation Structure enhancements
Easily view the number of Position Establishments or Occupancies linked to an Organisation Component
In the Organisation Structure, you can view the number of Position Establishments or Occupancies connected to each Organisation Component.
The values change if:
- Position Establishments or Occupancies are added or removed from the Organisation Component
- The As At date in the Organisation Structure Controls does or doesn't correlate with the Position Establishment or Occupancy Start and End Dates.

Business Reporting enhancements
The Position Chart for Visio report now shows vacant positions on the position chart at a given date and time when opened in Visio
- Open the Position Chart for Visio report (Business > Reporting)
- Select the As At Date, then any filters.
- Export the chart to Microsoft Excel (.xlsx).
- Open Microsoft Visio.
- Follow the steps in Visio to import the data.
- You can then see vacant positions.
