This guide is for new starters using the Jemini onboarding process.

Signing into Jemini for the first time

TIP

If your employer has set you up with a Single Sign On (SSO) account, you won't need to follow the below sign-in process. Instead, you'll be able to access Jemini using the credentials provided by your employer.
To skip this section, jump to First view of Jemini.

Your onboarding journey in Jemini will begin with a welcome message in your email inbox.

Select the Activate button to open the Jemini app on your internet browser.
You’ll need to enter a new password and answer a couple of security questions to activate your account.

Once you’ve activated your account, you can go to the sign-in page.
Enter your username (this will be your email address) and your password, then select Sign in.

When you’re a new starter, you’ll have access to two applications (bubbles):
• ONBOARDING
• SECURITY DETAILS

To begin the Onboarding process, select ONBOARDING. This will take you to the Your Jemini – Onboarding view.

The workflow will be divided into steps. For example, in the screenshot above, the steps are divided into the week or month before your start date. Expand the step to see your tasks.

Onboarding task types

There are three types of tasks that require different actions: Action, Onboarding and Profile.

What’s an Action type task?

Action type tasks complete bubbles in Your Jemini that are related to your pay. These tasks may require you to enter or edit your:

  • Bank Accounts
  • KiwiSaver (NZ only)
  • Super Fund*
*Important information about New Zealand employee access to the Super Fund task:

If you're a New Zealand employee, you can only access your Super Fund task if your KiwiSaver record has the "EMPLOYEE HAS A NON-KIWISAVER SUPERANNUATION SCHEME" setting set to Yes. However, this can only be done by a manager. Please reach out to your manager if you think you have a Super Fund task that needs completing.

How to complete an Action type task

  1. Once you've signed into Jemini, go to ONBOARDING.
TIP

You can expand a step to reveal your tasks by selecting the Downward Arrow icon in the step header.

  1. Select the Action type task you wish to complete (the card will say TYPE: Action). The panel that opens will vary depending on what kind of action task you need to complete.
  2. Add or edit the records within the task as required.
TIP

If you need help adding or editing the records, you can use these guides:

  1. Once you’ve completed the task, change the TASK STATUS from To do to Done.
  2. Select the Green Tick Button to save and close the panel.
TIP

If you’ve completed a task but it’s still in the To Do section, you can drag and drop the card into the Done section.

What’s an Onboarding type task?

Onboarding type tasks are general tasks you’ll need to complete so your new employer can set you up as an employee. These tasks may include instructions from your new employer, and you may need to provide your signature, links, attachments, and notes for the various tasks.

How to complete an Onboarding type task

  1. Once you've signed into Jemini, go to ONBOARDING.

You can expand a step to reveal your tasks by selecting the Downward Arrow icon in the step header.

  1. Select the Onboarding type task you wish to complete (the card will say TYPE: Onboarding). The ONBOARDING TASK panel will open.
  2. There may be instructions for you in the NAME or DESCRIPTION.
  3. If the Content section is visible, you may need to:
    1. download or upload attachments
    2. follow or provide links
    3. enter your signature.
  4. If the Notes section is visible, you may need to:
    1. enter notes related to the instructions provided by your employer
    2. read notes entered by your manager.
  5. Once you’ve completed the task, change the TASK STATUS from To do to Done.
  6. Select the Green Tick Button to save and close the panel.
TIP

If you’ve completed a task but it’s still in the To Do section, you can drag and drop the card into the Done section.

What’s a Profile type task?

Profile type tasks set up your profile in Jemini. These tasks may require you to enter your:

  • Basic profile information (like name, birthdate, gender, and profile picture)
  • Contact details
  • Emergency contact details
  • Demographic details
  • Health details
  • Style and strengths
  • Entitlement to work

How to complete a Profile type task

  1. Once you've signed into Jemini, go to ONBOARDING.

  1. Select the Profile type task you wish to complete (the card will say TYPE: Profile). The panel that opens will vary depending on what kind of profile task you need to complete.
  2. Add or edit the records within the task as required.
TIP

If you need help adding or editing the records, you can use these guides:

  1. Once you’ve completed the task, change the TASK STATUS from To do to Done.
  2. Select the Green Tick Button to save and close the panel.

If you’ve completed a task but it’s still in the To Do section, you can drag and drop the card into the Done section.

Things to note about completing tasks

Make sure you complete tasks by the step end date

If you don’t complete a task by the step end date, you’ll receive an email notifying you that the task is overdue. Any overdue tasks will have a warning status on the card.
You can view the step details in the step header. Details are

  • Step start date
  • Step end date
  • Completed tasks within the step
  • Total tasks within the step

Identifying the task and step statuses

Information on the Onboarding step headers and task cards help indicate the status of the tasks. Each step has a start and end date that's driven from your commencement date.

  • If today's date is before the step start date, the step will be collapsed to hide the tasks. When you expand the step, you'll see that the tasks are locked.
  • If today's date is within the step start and end date, the step will be expanded to display the tasks.
  • If today's date is after the step end date and a task isn't completed before then, the step header will show a warning status. The uncompleted tasks will also show a warning status.

Profile or Action bubble access

If you don’t have permission to access Profile or Action bubbles connected to the Onboarding Tasks, you won't be able to view or edit them.
