Who can benefit from this guide?

This guide is for HR managers who are responsible for managing multiple employments and updating subsequent employee records. It covers how to view and update new employee records after they’ve been created in the Employment Manager.

Viewing new employee records

When multiple employments are created in the Employment Manager, new employee records will be generated within the Employees application

As shown in the screenshot below, Chloe Bennett has two employee records. The card on the left represents her initial employment, while the card on the right—outlined in red—represents her other employment. Any employment other than the initial employment can be identified by the ID Card Icon.

TIP

Jemini considers each record as an individual employee, each with a distinct employment path. You can use a simliar mindset by managing each record as if handling separate employees. For example, each record needs its own Lifecycle management.


Updating new employee records

When setting up new employee records that were created as a result of multiple employments, you’ll need to enter employment details specific to each new record. The information required is determined by your chosen pathway when creating the additional employments in the Employment Manager:

Employment pathway

Pre-populated bubbles

The Profile bubbles (except Entitlement to Work) are cloned from the initial employment, and don’t need to be updated.

If you do update them, the changes will apply across all of the employee’s existing employments.

Bubbles to update

Update the following bubbles with new employment details, in this order (select the links to refer to the guides):

  1. Occupancy

  2. Pay Rate

  3. Work Pattern

  4. Tax Details

  5. KiwiSaver

  6. Super Funds (if applicable)

  7. Bank Accounts

  8. Leave

  9. Entitlement to Work


Employment Stream pathway

Pre-populated bubbles

These bubbles are cloned from the initial employment, and don’t need to be updated:

  • All Profile bubbles

  • Tax Details

  • Bank Account

  • KiwiSaver

  • Super Funds (if applicable)

  • Pay Mode

If you do update them, the changes will apply across all of the employee’s existing employments.

IMPORTANT

Although Tax Details are cloned, they may need updating so that the tax for all employment streams is calculated correctly. For example, the ESCT rate should be based on the combined income from all employment streams.

Bubbles to update

Update the following bubbles with new employment details, in this order (select the links to refer to the guides):

  1. Occupancy

  2. Pay Rate

  3. Work Pattern

  4. Leave


Viewing updated employee records

After updating the Occupancy placeholder with the new details, the corresponding card in the Employees application will also reflect these changes. This allows you to easily identify each card’s associated employment by the position title.
